Privacy Policy — TrimCall

Who we are

TrimCall (“TrimCall,” “we,” “us”) is a service of SUKI & CO VENTURES LLC, a Texas limited liability company located at 5900 Balcones Drive STE 100, Austin, TX 78731 USA. TrimCall provides an AI receptionist that answers calls and sends text messages on behalf of grooming and other service businesses (“Businesses”).

This policy covers two groups: Businesses that use TrimCall, and the people who call or text those Businesses (“Callers”). When we handle Caller information, we do so on behalf of the Business the Caller contacted.

Information we collect

From Businesses: name, business name, email, phone number, business address, service and pricing details, hours, policies, calendar connection, and billing information (processed by our payment provider; we do not store card numbers).

From Callers, on behalf of Businesses: name, phone number, email, service address, pet details (such as name, breed, size, coat condition, temperament, and vaccination status), appointment details, call recordings, call transcripts and summaries, and text message content.

Automatically: website usage data such as pages visited, device and browser type, and approximate location, collected through cookies and similar tools.

How we use information

• To answer calls, book and manage appointments, and send texts on behalf of Businesses

• To notify Businesses about bookings, requests, and questions from Callers

• To process deposits and payments through our payment provider

• To provide, maintain, secure, and improve TrimCall, including reviewing calls to fix errors

• To bill Businesses and provide customer support

• To comply with legal obligations

We do not sell personal information, and we do not use Caller information for our own marketing.

Text messaging and mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except service providers that help us deliver messages. See our SMS Terms for details.

AI and automated processing

TrimCall uses artificial intelligence to understand callers, respond, and take actions such as booking appointments. Callers are told at the start of a call that they are speaking with an AI assistant and that the call may be recorded. Businesses can review calls and correct information at any time.

Service providers we share information with

We share information only as needed to operate TrimCall, with providers bound to protect it, including providers of: telephony and text messaging, speech recognition and voice generation, AI language models, real-time voice infrastructure, cloud hosting, calendar integration (such as Google Calendar, when a Business connects it), and payment processing. We may also share information to comply with law, protect rights and safety, or as part of a business transfer.

Data retention

Call recordings and transcripts are kept for 90 days, then deleted. Appointment and client records are kept while the Business’s account is active and for up to 90 days after closure, unless the law requires longer. Businesses can request earlier deletion.

Security

We use reasonable safeguards, including encryption in transit, access controls, and isolating each Business’s data from others. No method of transmission or storage is completely secure.

Your choices and rights

• Callers: reply STOP to any text to stop messages. To access, correct, or delete your information, contact the Business you called or email us at privacy@trimcall.com.

• Businesses: you can access and update your information in your account or by contacting us.

• Depending on where you live, you may have additional rights under state privacy laws. We will respond to verified requests as required by law.

Children

TrimCall is not directed to children under 13, and we do not knowingly collect their information.

Changes

We may update this policy and will post the new version here with a new effective date. Significant changes will be communicated to Businesses by email.
